Declaration of consent

Dear Participant,
This is an inquiry for participation in the activities of the ZeroW project. In this letter, we will give you information about the purpose of the project, the data collection and processing activity, what your participation will involve, and your rights.
 

Purpose of the project

The main purpose of ZeroW is to reduce Food Loss and Waste by employing systemic innovations, to halve by 2030 and to near-zero by 2050. ZeroW is an action funded by the European Commission through the Horizon 2020 framework (Grant Agreement no. 101036388). The systemic innovation approach in ZeroW is based on the development of a core demonstrative environment supporting nine Systemic Innovation Living Labs (SILLs) along the value chain, complemented by assessment activities to ensure a long term environmental and economic sustainability of zero-FLW (0FLW) solutions and a just transition towards a near-zero FLW system.
 

Who is responsible for the project? 

INLECOM COMMERCIAL PATHWAYS COMPANY LIMITED BY GUARANTEE is the responsible for the project (i.e., the project co-ordinator).

The purposes and legal basis for processing your personal data
1. We process your personal data for the following purposes, depending on your consent:
Registration of your participation in an event
Saving and use of photos, sdata on social media 
Publish data on ZeroW homepage
Save and use of photos on printed materials for promotion of the project
2. The legal basis for our processing of your personal data follows from:
The General Data Protection Regulation 2016/679, Art. 6 (1), (the data subject has given consent to the processing of his or her personal data for one or more specific purposes).
 
What do you consent to?
By giving consent you agree to your data being stored in Food & Bio Cluster Denmark’s customer register. The data is used exclusively in connection with the activities that Food & Bio Cluster Denmark performs for you as participant in the project. Your data is used in a project with several partners and external organizations related to the project. This mean that your data can be shared with:
- partners in the ZeroW project.
- external organizations performing tasks related to the project and its purpose.
In connection with the execution of the relevant event, you give your consent to possibly appear in images that Food & Bio Cluster Denmark and other organizations mentioned above, use in connection with marketing of the specific project, on website, newsletters, and on social media.
 
Categories of personal data
We process the following categories of personal data about you, depending on your consent:
General personal data, including your name and email address
Photos, sound files, and videos of you 
We do not process sensitive personal data in this project.
 
 
 
 
Where your personal data comes from
We receive your personal data directly from you, via the participation form. If we do not receive your personal data, you will not be able to participate in the event.
 
Potential Benefits, Risks or Discomforts for you 
There is no foreseeable risk, disadvantage, or discomfort in the participation.
 
Participation is voluntary
Participation in the project’s activities is voluntary, and you can refrain from answering individual questions if you wish. All information about you will be made anonymous. If you chose to participate, you can withdraw your consent at any time without giving a reason. There will be no negative consequences for you if you choose not to participate or later decide to withdraw. After withdrawal your data will be deleted.
 
Recipients or categories of recipients
As we receive public funding in connection with our events, we are obliged to be able to document and forward this information to our donors and the other partners in the project in question. 
 
As we are obligated to share data with other related consortium partners and authorized third parties, we are aware of data security and obtain data processing agreements in accordance with the ZeroW project Consortium Agreement.
 
Your personal privacy - Storage of your personal data
We store your data in data handling systems supporting the tasks given to FBCD in relation to the ZeroW project. These can mainly be divided in two categories: 
 
Administrative handling systems: 
We store your data in Microsoft Teams and Podio. CITRIX, which owns Podio, has prepared an end user service agreement, which relates to the GDPR. In addition, we have a data processor agreement with Citrix.
 
Marketing & communication:
We also store data (email and name for newsletter) in Mailchimp.
We store data in datasets connected to the website; DynamicWeb (CMS), Skyfish (picture storage), Twitter (social media), LinkedIn (social media), Youtube (social media), GoogleAnalytics (analytics to optimise some-activity) and other archives necessary for Food & Bio Cluster to use it for ZeroW marketing, dissemination and communication activities.
 
What will happen to your personal data at the end of the project? 
The ZeroW project is scheduled to end 31st December 2025. All project data will be stored only for the minimum period required to complete the research activities, which is 36 months/3 years, and according to the accounting rules that apply under Horizon 2020, no longer than five years from the end of the project. We store your personal data for as long as we are obligated to do so in connection with the execution of our authorized project activities, so that we can document our information. After that, it will be deleted. 
 
Your rights
Under the GDPR, you have a number of rights in relation to our processing of information about you. If you want to exercise your rights, please contact us at: info@foodbiocluster.dk
So long as you can be identified in the collected data, you have the right to:
access your personal data that is being processed (Art. 15 GDPR)
request that your personal data is deleted (“right to be forgotten”; Art. 17 GDPR)
request that incorrect personal data about you is corrected/rectified (Art. 16 GDPR)
request for restriction of processing of your personal data (Art. 18 GDPR)
receive a copy of your personal data (data portability) (Art. 20 GDPR), 
object to processing your personal data, on grounds relating to your particular situation (Art. 21 GDPR), 
In Denmark, the GDPR is supplemented by the Danish Data Protection Act (act. no. 502 of 23 May 2018, in Danish Databeskyttelsesloven).
